Email Outreach & Anti-Spam Policy

The standards that apply to business outreach sent through Rhycon and the safeguards used to protect recipients.

Rhycon, Corp. ("Rhycon") operates rhycon.ai, a business-to-business sales outreach platform. This policy governs email sent through the Rhycon Service and is incorporated into Rhycon's Terms of Service.

Prohibition of unsolicited bulk email

Rhycon prohibits unsolicited bulk email, purchased or unlawfully obtained consumer lists, phishing, deceptive messages, and outreach that continues after an opt-out. Customers may use the Service only for lawful, professionally relevant business communications.

Rhycon domains may not be promoted through unsolicited email

Rhycon.ai and all other Rhycon-owned websites may not be advertised, promoted, linked, redirected to, or otherwise referenced in unsolicited email. This prohibition applies to Rhycon, its employees, customers, contractors, agencies, affiliates, and any third party acting on its behalf. Rhycon-owned domains may not be used as destination URLs, redirects, tracking links, or signature links in unsolicited messages. Violations may result in immediate suspension or termination, and all opt-out and abuse requests are permanently honored.

Requirements for all outreach sent through Rhycon

  • Relevant business purpose. Outreach must be directed to a specific professional recipient for a genuine business purpose relevant to that person's role. Indiscriminate or consumer-targeted campaigns are prohibited.
  • Accurate identity and content. Sender and routing information, subject lines, company identity, offers, and claims must be truthful and not misleading.
  • Required disclosures. Commercial email must be identified as advertising or solicitation where required and include the sender's valid physical postal address and any privacy information required for the recipient.
  • Clear opt-out. Every commercial message must provide a clear, conspicuous, working, and no-charge way to stop future commercial email from the sender.
  • Prompt suppression. Customers must honor an opt-out within 10 business days or any shorter period required by applicable law. They may not sell, transfer, or reuse an opted-out address except as legally permitted to maintain suppression.
  • Lawful data. Customers must have the notices, rights, permissions, consents, or other lawful basis required for their source data, targeting, enrichment, and outreach.
  • Provider rules. Customers must also comply with applicable mailbox-provider and connected-account policies, technical requirements, and sending limits.

Opt-outs and suppression

Each cold-email body ends with a short reply-only opt-out instruction. It does not add an HTTP or HTTPS unsubscribe link, button, redirector, or hidden one-click unsubscribe header. Cold email is pixel-free by default. A specifically authorized mailbox may use one sender-domain open pixel in ordinary campaign mail; warm-up and deliverability probes remain pixel-free, and the endpoint stores no recipient IP address or user-agent. A recipient may use the suggested word or reply with a clear request to stop. Exact commands are caught immediately, while misspellings, unusual wording, and contextual requests continue through Rhycon's semantic reply grader. An unsubscribe verdict durably suppresses the recipient from future outreach in the sender's workspace and cancels queued messages.

Rhycon does not claim that this reply-only format satisfies RFC 8058 or provider rules that explicitly require one-click headers or a clickable body link. Customers must use the Service only for lawful, individually relevant business outreach and determine which technical and legal requirements apply to their sending volume, recipients, and jurisdictions.

Customer responsibility

Communication rules vary by sender, recipient, message, and jurisdiction. Customers remain responsible for determining and documenting which laws apply, including CAN-SPAM, state privacy laws, GDPR, UK GDPR, PECR, ePrivacy requirements, CASL, and other direct-marketing rules. Rhycon's controls support compliance but do not replace the customer's legal obligations.

Enforcement

Rhycon may monitor sending and deliverability signals, investigate complaints, suppress recipients, pause campaigns or sending accounts, require corrective action, and suspend or terminate access for suspected or repeated violations. Rhycon may cooperate with mailbox providers, blocklist operators, abuse desks, and lawful authorities.

Reporting abuse

To report suspected abuse or request suppression, contact sales@rhycon.ai. Please include the sender, recipient address, sending date, and full message headers where possible. Rhycon will review the report and take appropriate action.
